You need to keep your receipts for documentation and tax purposes; you don't have to keep the physical paper. With a scanner and a receipt-management program you can save expenditure information on your MacBook. Many receipt-management programs have a few traits in common: optical character recognition for identifying the text on the receipt and a database for cataloging expenditures. If you want software specifically for managing receipts and already own a scanner, Paperless is the way to go. The lightweight and portable scanners from Neat or Doxie will better match your MacBook; Neat offers receipt-management software while the Doxie is just a scanner without specific receipt-management tools.
Paperless
Install Paperless on your MacBook (link in Resources). Originally called ReceiptWallet, Paperless works with your existing scanner to recognize and categorize your receipts. As of July 2013, Paperless is available for $50 with a 30-day free trial. You'll want to install any scanner drivers on your MacBook if you haven't done already. With your receipt in the scanner bed, click the 'Scan' button on the Paperless toolbar to open a window called the Image Capture Sheet that shows your connected scanners. Select your scanner and click 'Show Details' to view of preview of your receipt. If everything looks correct, click the 'Scan' button.
NeatReceipt
Install the NeatReceipt software on your MacBook and then connect the Neat scanner to your computer. The NeatReceipt scanner is small and portable -- if you're using a large Neat scanner, this is the NeatDesk hardware. Either works for scanning your receipts, but NeatDesk scans with documents face up while NeatReceipt scans documents face down. When you're ready, slide your receipt face down into the scanner and press the 'Scan' button either on the scanner or within the software. After you've scanned, NeatReceipts will detect information about the receipt -- including the vendor, the date, the payment type, the tax and the amount. You can also manually set this formation in the software.
Doxie
Install the Doxie software on your MacBook; when prompted, plug in your Doxie scanner via USB. If this is your first time using the software it will prompt you to calibrate your scanner. Insert your receipt face down into the Doxie scanner with the corner aligned to the right. Hold it in place until the scanner grabs the paper. You can press the 'heart' button on the scanner to begin scanning your receipt or initiate the scan from the Doxie software using the scanning options in the upper left corner of the screen. Select your scanned receipts in the Doxie software and click 'Save' to save them to your computer; you can choose between PDF and image file types.
Backing Up
Make regular backups to your receipt files, whether via a cloud service or to an external drive, to ensure that you don't lose them. You may even want to consider keeping your paper receipts for backup purposes in case something happens to your computer. You can always organize them and tuck them into a box in the closet without having to reference the physical records unless something goes wrong with the digital ones.
